Features
Booking appointments by phone
A caller asks for a time and the call ends with a booking. Your receptionist checks real availability during the call and books into the calendar you have connected, or into the built-in diary.
What happens on a call
- The caller asks for an appointment and says when suits them.
- Your receptionist checks availability against your connected calendar during the call.
- It offers times that are free, and books the one the caller chooses there and then.
- The caller's details are attached to the booking.
If no time works for the caller, the receptionist says so rather than forcing a booking. It takes a message or a callback request instead.
Where bookings go
Only one booking system is active at a time. You choose it under Scheduling, then Booking system, in your dashboard.
| Booking system | What your receptionist does |
|---|---|
| Ringar AI Schedule | Keeps the diary itself. Offers real times, books them, moves them and cancels them. Nothing else is needed to start. |
| Google Calendar | Checks whether you are free and books into the calendar you already use. |
| Outlook Calendar | Checks whether you are free and books into your Microsoft 365 or Outlook calendar. |
| Cal.com | Reads its availability, and books, moves and cancels in it. |
Where you have connected a calendar, your receptionist can check real availability and book into it during the call.
Seeing your bookings
Every booking appears under Scheduling, then Bookings, in your dashboard. An appointment booked for a particular person keeps that person's name, including after it is moved. The bookings list shows it.
Online booking as well
The built-in Ringar AI Schedule also gives you a public booking page. You can show that page on your own website as a form or behind a button, using one snippet from the Booking system page.
