Out of hours

Out of hours call handling

Evenings, weekends, early mornings and bank holidays still bring real enquiries. Today most of them reach voicemail or a phone that rings out, and by the time you open the caller has often moved on.

Example call

Without it

  1. 19:12A caller rings after you have closed.
  2. 19:12Voicemail, or a phone that rings out.
  3. 09:00You open to a missed call, and a caller who may have gone elsewhere.

The enquiry waits, or is lost

With Ringar AI

  1. 19:12Answered, and told plainly that you are closed.
  2. 19:13What they need is taken down, or a time is booked where a calendar is connected.
  3. 09:00You open to the details in your dashboard, and the booking if one was made.

Waiting for you at opening time

What handles this.

  • Answers the call

Every inbound call reaches someone. No ringing out, no voicemail that nobody returns.

  • Takes the details

Name, number, what they need. Written down properly the first time.

  • Books the appointment

Where you have connected a calendar, it can check real availability and book into it during the call.

What happens to calls after closing today

For most small businesses the options are voicemail or nothing. A caller hears a recorded message, hangs up without leaving one, or leaves a name and half a sentence. Either way the enquiry is not dealt with until someone is back, and by then it may have gone elsewhere.

What good out of hours handling looks like

The call is answered. The caller is told plainly that you are closed. Then the useful part happens: it works out what they need, takes their name, number and details, books an appointment where a calendar such as Outlook is connected, and leaves a written record in your dashboard.

It works with your own opening hours

You tell Ringar AI when you are open and when you are not, and it works from that. A caller after hours is told you are closed rather than left wondering. You choose whether it takes all calls, only the ones outside your hours, or only the ones nobody picks up.

What the caller hears

A natural answer, not a voicemail tone. It says you are closed, says what it can do, and gets on with it: a question answered, details taken, or a time booked. The caller is never told something has happened when it has not.

Honest limits

It is not an emergency service, and it will not pretend to be one. It can put a caller through to one number you choose. If you have not set a number, it takes a message or arranges a callback. If a transfer cannot be made, it says so and offers a message or a callback. What it can do is answer, take the details properly, and make sure you see them first thing.

Out of hours call handling questions

Not seeing your question? Ask us directly on a demo.

What does a missed out of hours call actually cost?

The cost is the work you do not get, and we will not invent a number for your business. What is usually true: a caller who reaches voicemail often does not leave a message, and by the time you open they may have rung someone else.

Does it replace an answering service?

For routine calls it can: answering, taking details and booking where a calendar is connected. A human answering service still has the edge for calls that need real judgement, so the honest answer is that it depends on your calls. See the comparison page for the full picture.

What about emergencies?

It is not an emergency service. A genuine emergency needs 999 or your own emergency cover. If you have an out of hours emergency number, you can tell Ringar AI to give it to callers, and it takes a message for everything else.

How are bookings handled?

Where you have connected a calendar, such as Outlook, it checks real availability and books during the call. Where no calendar is connected, or no time works, it takes a message or a callback request instead of guessing.

What does the owner see?

A written record of what was said and what came of it, in the dashboard with the full transcript. Nothing sits waiting for someone to log in.
